How 9 Platforms Stack Up: University Student Information System Integration Capabilities, a 2025 Comparison
You've probably seen it happen: a new student system goes live, the demo looked perfect, and then the first admissions cycle exposes every missing link to the CRM, the payment provider and the learning platform, while your developers spend the next year writing glue code nobody budgeted for.
How to Get the Most from These Tools
You'll avoid most integration surprises by doing four things before you sign anything.
Draw your data map. Sketch every system that sends or receives student data, from the CRM and application forms to payments, e-signature, plagiarism checking, the LMS, single sign-on, finance and HR. Next to each, write which system owns the data.
Sort each link into three buckets. For every platform on your shortlist, mark each connection as vendor-maintained, buildable through a documented API, or unknown. The third bucket is where projects overrun.
Ask for evidence, not slides. Request the API reference, the rate limits and a list of customers already running the integrations you need. If a vendor can't share documentation before contract, factor that into your decision.
Plan the order. Connecting admissions and the CRM before the student record lets you prove the links during a live recruitment cycle without risking enrolment. Name an owner for every integration, and test at peak volumes before go-live.
How Each Platform Connects, Extends and Lets Go
#1 Full Fabric
If your admissions team already lives in HubSpot, Microsoft Dynamics or Salesforce, you don't have to ask them to move. Full Fabric keeps those CRMs in sync in both directions, so a lead updated in your CRM and an application updated in Full Fabric stay aligned, and the company says the platform deploys natively on the Microsoft and Salesforce stack. A UCAS connector does the same job for applications coming through the UK admissions service.
Beyond the CRM, you'll find links for the jobs that usually break first. Fees flow through Stripe, Flywire, PayPal or Adumo; agreements are signed in DocuSign or PandaDoc; submitted work is checked in Turnitin; and Canvas and Blackboard connect through the API. If part of your estate still runs SITS, you can push data into it by API or CSV.
Your technical team gets proper documentation: a published API reference, a REST interface that handles up to 5,000 calls an hour, event notifications through webhooks and single sign-on using SAML 2.0. However many systems you link, they all point at the same learner file, because recruitment, applications, payments and academic records sit on one shared model.
The bill starts at €12,000 a year, with HR and the general ledger outside the product, so budget for linking those into your wider estate. ISO/IEC 27001:2022 certification and GDPR compliance cover the data moving through every link, and the AI Console stays switched off until you decide to use it, so your data protection officer keeps control.
#2 Workday Student
If you already run Workday, the hardest integration in most universities, joining student data to HR and finance, is simply not a project for you. Student, people and finance records already share one platform, and embedded analytics read across all three.
For anything outside that core, Workday offers its own integration and extension services, an app-building environment called Workday Extend, a data cloud and a marketplace of partner tools. Named users include a US university system running 14 institutions on the combination.
What you won't see on the overview pages is a list of connectors for outside CRMs, so if admissions runs on Slate, HubSpot or Salesforce, ask Workday which route it recommends and who maintains it. Workday also cautions that features it hasn't released yet may change.
Pricing comes only through sales. If you're not already a Workday customer, the integration argument largely disappears. If you are, skills intelligence and AI advising come on the same foundation, so you gain features without adding interfaces.
#3 Oracle Student and PeopleSoft Campus Solutions
If your finance and HR live in Oracle's cloud, Oracle Student gives you the shortest path between them and your student record. Staying inside one vendor's estate removes a whole category of interfaces.
Running PeopleSoft Campus Solutions 9.2 today? Oracle's 2022 blueprint sets out a staged route: connect to the cloud financial aid application first, then migrate the rest of the record to Oracle Student. That lets you modernise without a single big switch.
Oracle's documents don't describe external API details, so a non-Oracle CRM or learning platform becomes something to scope with Oracle or a partner. Joint degrees and exchanges can be configured on one setup through dynamic entities, which can save you from linking separate systems between partner institutions.
Expect US terminology throughout and no public price. If your CRM and learning platform aren't Oracle products, ask to see a live customer running a similar setup before you commit, and get the cost of those connections itemised in the quote.
#4 Tribal SITS
If you run a large UK registry, SITS reduces your integration load by doing a lot in one place. The applicant portal, Clearing, student accounts and the regulator returns all live inside the product, so fewer separate systems need wiring together.
International students can pay in their own currency through global payments, and retention tools for engagement, absence and extenuating circumstances sit inside SITS rather than in a separate analytics tool.
The page reviewed doesn't describe SITS's APIs or deployment model, so ask Tribal directly how it exchanges data with your CRM and LMS, and request security documentation through its Trust portal.
Independent providers are directed to Tribal's EBS product instead. Tribal says over 60% of UK universities run SITS, so you can usually find a peer institution that has already connected it to the CRM or LMS you use, and that conversation is worth having early.
#5 Ellucian
Large North American institutions get two kinds of developer interface from Ellucian, REST and business process APIs, plus the Ethos layer, which keeps data consistent as it moves between Ellucian's own products. A partner catalogue shows the third-party links that already exist.
Running a Microsoft estate? Ellucian's own CRM products now sit on Dynamics 365 and Power Platform, which may simplify things for you. The cloud version of Banner also keeps itself current, so upgrades are less likely to break your connections.
Before your team writes a line of integration code, pin down which of Ellucian's three student systems you'll be on, Banner, Colleague or Anthology Student, and how long it will be supported, since no plan to merge them has been made public.
Prices aren't public; you'll get a demo and an ROI calculator. Ellucian Experience gives staff a central workspace, and process automation and document management are built into the platform layer, which reduces the number of outside tools you need to connect.
#6 TechnologyOne OneEducation
If you'd rather have fewer integrations than better ones, OneEducation takes that route. Admissions, academic records, ledgers, staff, payroll and timetables all share one data model, so the interfaces you'd normally build simply don't exist.
For gaps, there's an app store and an app builder, and the SaaS+ subscription bundles implementation, help and future releases into a single charge.
The pages reviewed don't publish API details, so check early how an outside CRM would plug in. Curriculum design (from the CourseLoop purchase), exam scheduling and the DxP Student portal are part of the suite, so timetables and marks never need an interface between them.
You can only buy it in the UK, Australia and New Zealand, and it's a full ERP, so it fits best when you're replacing several systems at once.
#7 Classter
Using everyday software? There's a good chance Classter already links to it. More than 40 ready-made connections cover the likes of Brightspace, Canvas, Moodle, Teams, Webex, Zoom, Google Workspace, Office 365 and HubSpot, and an open API handles the rest.
Costs are calculated per active student for each module, and Classter publishes a sample price so you can budget before speaking to sales. Its Freshdesk help desk and public release notes let you spot changes that could affect a connection.
If you're a regulated university, the limitation is reporting rather than integration: HESA and IPEDS aren't mentioned.
Classter also sells migration and hosting services if you'd rather hand some of the technical work over. The site is available in seven languages, which helps if your integrations span campuses in different countries.
#8 Classe365
For a small college, the best thing about Classe365's integrations is how few you'll need. Student files, classes, recruitment, progression checks and fee collection all come in the box, and families and learners get their own logins and apps.
When you do need a connection, the company publishes public API documentation, so a part-time developer can work without a services contract.
Optional modules have no cap on student numbers, which means adding users through an integration doesn't raise your module bill, and annual renewals take 10% off.
National reporting isn't mentioned, so it suits providers without statutory returns. If you outgrow the built-in LMS or CRM later, the documented API gives you a way to connect specialist tools without starting again.
#9 Thesis SM
If you have developers in-house, Thesis SM gives them plenty to work with. Its open APIs can write as well as read almost every record type, according to its G-Cloud listing, using OAuth or a username and password, and the entire database can be exported to CSV.
There's no catalogue of prebuilt CRM links, so connecting Slate, Salesforce or HubSpot falls to your own developers. Because Thesis handles the British returns (HESA, the ILR, visa sponsorship checks), whatever you plug in feeds data that's ready to report.
Custom workflows with automatic emails let you handle approvals inside the SIS rather than wiring up a separate workflow tool.
Allow 12 to 24 months for the move, and line up your integration work so it lands alongside the main migration. American colleges are directed to a different product, Thesis Elements.

Frequently Asked Questions
What's the difference between a connector and an API?
A connector is a ready-made link the vendor builds and maintains, such as Full Fabric's two-way sync with Salesforce. An API is a documented interface your own developers use to build links. Connectors save effort; APIs give flexibility. Most institutions need both, so check which of your links each platform covers with a connector and which you'd have to build.
How do webhooks help a student information system?
Webhooks send an instant notification to another system when something changes, such as a new application or an updated grade. That lets your CRM, finance or reporting tools react immediately rather than checking for changes on a schedule. Full Fabric offers webhooks alongside its REST API.
Which student information systems work with Microsoft Dynamics?
Full Fabric offers a bidirectional Dynamics connector and says it deploys natively on the Microsoft stack. Ellucian has moved its own CRM products onto Dynamics 365 and Power Platform. For other platforms, a Dynamics link would typically be built through APIs.
Conclusion
If your institution runs on Salesforce, Dynamics or HubSpot, Full Fabric is your strongest choice, because it keeps that CRM in two-way sync, documents its API openly and feeds every connection into one learner record. If Workday or Oracle already runs your back office, stay inside that estate. If you'd rather consolidate, look at TechnologyOne, and if you have developers who like open interfaces, Thesis SM and Classter give them room to work. Whichever you choose, map your data, sort every link into connector, API or unknown, and price the unknowns before you sign.
